A Certain Age Careers (ACAC), operated by Davida Jones ABN 71657835774, is committed to protecting the privacy and confidentiality of all personal information collected in the course of providing career development services and operating this website. 

This Privacy Policy explains how we collect, use, store, and protect your personal information, and how you can access or correct it. We adhere to the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). 

By using our website or engaging our services, you consent to the collection and use of your information as described in this policy. 

1. Information We Collect 

We may collect the following personal information in the course of operating our website and delivering our services: 

  • Name, preferred name, date of birth, address, and contact details 

  • Emergency contact details (used only in the event of a serious safety concern) 

  • Work eligibility status 

  • Booking and appointment information 

  • Payment information (processed securely via Stripe — we do not store your credit card details) 

  • Information you share in your Client Intake and Pre-Session Questionnaire, including employment history, education, strengths, challenges, and accessibility or support needs 

  • Information you share during sessions, including career history, personal circumstances, and goals 

  • Session notes and progress documentation created during the course of our work together 

  • Email and written correspondence 

  • Website usage data including IP address and browser information collected via cookies 

 

Our services are designed for adults aged 18 and over. We do not knowingly collect personal information from anyone under 18. 

2. How We Use Your Information 

Personal information collected by ACAC is used solely for the following purposes: 

  • Delivering career development services to you 

  • Managing bookings and appointments 

  • Processing payments 

  • Communicating with you about your sessions and enquiries 

  • Maintaining professional client records in accordance with our legal and ethical obligations 

  • Improving our website and services through anonymised, aggregated data 

 

We do not use your personal information for marketing purposes without your consent. If you subscribe to receive updates or resources from ACAC, you may unsubscribe at any time. 

3. Storage and Security 

Your personal information is stored securely within Microsoft 365 Business and OneDrive, protected by password access, multi-factor authentication, and device-level security measures. 

Booking and payment information is managed through Wix and Stripe respectively, both of which maintain their own security and privacy standards. We encourage you to review their privacy policies for further information. 

We take all reasonable steps to protect your personal information from misuse, loss, unauthorised access, modification, or disclosure. 

Physical documents, if any, are kept in locked storage and digitised where possible to minimise paper records. 

4. Retention of Personal Information 

There is no legislation that specifically mandates how long career development practitioners must retain client records. ACAC follows the general guidance of Australian professional and financial record keeping practice. 

Client records are retained for a minimum of 7 years from the date of last service. This is consistent with general Australian professional practice and financial record keeping guidance, including the Australian Securities and Investment Commission’s advisement that companies retain financial records for seven years. 

After this period, records are securely destroyed — digital files are permanently deleted, and any physical documents are cross-shredded. 

Personal information is not retained for longer than necessary for the purposes for which it was collected. 

5. Disclosure of Your Information 

Your personal information will not be disclosed to third parties without your consent, except in the following circumstances: 

  • Where required by law, including a court order or legal obligation 

  • Where there is a risk of serious harm to you or another person 

  • Where necessary for payment processing (Stripe) or booking management (Wix), in accordance with their respective privacy policies 

  • In the event of a change of ownership or control of ACAC, in which case client information would be transferred under appropriate confidentiality protections 

 

We do not sell, trade, or otherwise deal in your personal information. 

6. Notifiable Data Breaches 

In the event of an eligible data breach that is likely to result in serious harm, ACAC will comply with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth). We will notify affected individuals and the Office of the Australian Information Commissioner as required by law.

Our website uses cookies — small files placed in your browser that collect information about your browsing behaviour. Cookies help us understand how visitors use our website and improve your experience.
